This page outlines the Avalamban™ Mental Healthcare Services (AMHS) Policies applicable to clients, covering refunds and cancellations, the Pay-at-Clinic option, offline clinic visits, online sessions, platform use, fees, privacy, rescheduling, grievance redressal, anti-fraud measures, and updates. A separate Policies document applies to therapists.
1. Refund & Cancellation Policy
Online (prepaid) sessions:
- ≥ 8 hours before the session: Full refund.
- 4–8 hours before session: 50% refund.
- < 4 hours before / no-show: No refund.
- Therapist cancellations: Clients may choose between a full refund or a free reschedule.
Refunds, where applicable, will be processed to the original payment method within 3–5 business days, subject to bank/payment provider timelines.
Pay-at-Clinic sessions: No advance payment is collected, so there is no refund to process. No-shows and late cancellations are instead handled under the Pay-at-Clinic Policy (Section 2), including carry-over of the missed session's fee to your next booking.
2. Pay-at-Clinic Policy
AMHS offers a Pay-at-Clinic option for offline sessions at our physical clinic, allowing clients to book without paying online in advance. To keep this option sustainable and to protect appointment slots for everyone, the following apply:
- Payment before the session: Full payment must be made at clinic reception before the session begins. Sessions may be held from starting until payment is completed.
- Accepted payment modes at clinic: Cash or UPI, as available at reception.
- Arrival window: Clients should arrive at least 10 minutes early to complete check-in and payment without delaying the session start time.
- Grace period: A client arriving more than 15 minutes late without prior notice to the clinic may be treated as a no-show, and the slot may be offered to another client.
- Slot confirmation: AMHS admin will reach out on your registered mobile/WhatsApp number to confirm your Pay-at-Clinic booking. If you do not confirm when asked, the slot may be released and offered to another client.
No-show tracking:
No-shows on Pay-at-Clinic bookings are recorded against the client's account.
- Fee carried over: Because the slot was reserved and held for you, the full session fee for a Pay-at-Clinic no-show is carried over and added to your next booking. That next session is confirmed only once both the carried-over fee and the new session's fee have been paid at reception.
- 1st no-show: A reminder/advisory is sent regarding the Pay-at-Clinic terms.
- 2nd no-show within a rolling 3 months: Future bookings for that client may require online prepayment rather than Pay-at-Clinic.
- Repeated no-shows: AMHS may, at its discretion, suspend the Pay-at-Clinic option for that client's account altogether.
Confirmed bookings only: Please cancel or reschedule a Pay-at-Clinic booking you can no longer attend (see Section 9 — Rescheduling) so the slot can be released to another client.
3. Offline / Clinic Visit Policy
- Location: D-8, Basement, Green Park Ext., New Delhi 110016.
- Identification: Clients (or a parent/guardian for minor clients) may be asked to show valid ID at check-in.
- Punctuality: Sessions end at the originally scheduled time regardless of a late start caused by the client's late arrival, in order to protect the next client's slot.
- Waiting area: Please keep noise levels low and avoid bringing additional guests into session rooms unless clinically agreed with your therapist in advance.
- Health & safety: Clients displaying symptoms of contagious illness are requested to reschedule to an online session where possible.
4. Online Session Policy
- Joining a session: Online sessions are conducted only through the video link generated by the AMHS dashboard (e.g., the Google Meet link created when your session is booked). Please join using this link at the scheduled time. Calls, video chats, or messages arranged outside the AMHS dashboard are not treated as an AMHS session and are not covered by AMHS's confidentiality, refund, or grievance protections.
- Your setup: Please ensure a stable internet connection, a private and quiet space free from interruption, and working audio/video before your session begins.
- Timing: Sessions run for the scheduled duration. Joining late means only the remaining portion of the slot is available (see Section 9 — Rescheduling & Late Arrivals).
- Recording: Recording an online session — by either the client or the therapist — requires the other party's prior written consent.
5. Platform Use & No Private Contact with Therapists
AMHS provides the client dashboard so that booking, rescheduling, payments, session access, and communication with your therapist can all happen safely in one place — without you needing to share personal contact details with your therapist, or vice versa.
- Use the dashboard for everything. All scheduling, rescheduling, cancellations, payments, and session-related communication must go through the AMHS client dashboard and official AMHS channels. This is what allows AMHS to confirm your bookings, process refunds correctly, keep your session history for continuity of care, and step in if something goes wrong.
- Please don't contact your therapist privately. Clients should not reach out to a therapist's personal phone number, personal email, personal social media, or any other off-platform channel to arrange, reschedule, extend, or pay for sessions, or to continue therapy outside AMHS.
- If you want to continue with a therapist who leaves AMHS, please raise this with AMHS admin first rather than arranging it privately with the therapist. AMHS therapists are themselves bound by a strict policy against soliciting or facilitating off-platform arrangements with clients, and a separate process applies before that continuation can happen.
AMHS may treat repeated attempts to bypass the platform — by a client or a therapist — as a breach of these Policies, which may result in restricted account access.
6. Fees & Charges
- AMHS does not maintain a single, standard fee across the platform.
- Each professional specifies their own session charges, which are transparently displayed on their profile page and at the time of booking, for both online and offline (including Pay-at-Clinic) sessions.
- Fees may vary depending on qualifications, specialisation, and type of service.
- Clients are responsible for reviewing and accepting the displayed fee before confirming a booking.
- AMHS is not liable for disputes over fee differences between professionals, as charges are determined individually.
7. Privacy & Google Data Policy
- AMHS collects limited personal data (such as name, email, phone number, and session history) to deliver services.
- Therapy session records remain confidential, except where disclosure is legally required (e.g., risk of harm, court orders).
- Payment details for online sessions are processed securely through Razorpay; AMHS does not store sensitive financial information such as card numbers or CVV. Pay-at-Clinic payments are handled at reception and are not processed through the online payment gateway.
- Clients may request modification or deletion of their data by contacting AMHS directly.
- Use of Google User Data:
AMHS requests the scopehttps://www.googleapis.com/auth/calendar.eventsin order to create and manage calendar events on your behalf (e.g., scheduling therapy sessions, generating Google Meet links). This access is limited to event-level operations and does not grant permission to view or modify your full calendar list. AMHS does not access your emails, contacts, or other Google data. - Retention & Deletion of Google Data:
- AMHS retains only the minimum Google Calendar data required (event ID, generated Meet link, therapist email).
- OAuth access tokens and refresh tokens are stored securely in encrypted form and used only to maintain the connection with Google Calendar.
- All Google data is deleted when you revoke access via Google Account settings, disconnect Google Calendar from AMHS, or delete your AMHS account.
- You may also request deletion at any time by contacting us at antarmanmhs@gmail.com.
- Calendar events created in your Google Calendar remain under your direct control and may be modified or deleted by you within Google Calendar.
9. Rescheduling & Late Arrivals
- 2-hour reschedule window: Sessions (online and offline, including Pay-at-Clinic) can be rescheduled through the AMHS platform up to 2 hours before the scheduled start time. Once a session is within 2 hours of its start, the reschedule feature is automatically disabled, and the booking falls under the applicable cancellation/no-show terms instead.
- If a client arrives late to an offline session, only the remaining session time will be available; sessions end at the scheduled time.
- For online sessions, the same principle applies — a late-joining client receives only the remaining portion of the scheduled slot.

11. Anti-Fraud Measures
- AMHS may verify client identity or booking details in cases of suspected misuse, including repeated abuse of the Pay-at-Clinic option.
- Fraudulent chargebacks or abuse of refund/Pay-at-Clinic policies may result in suspension of services and legal recovery of dues.
